This policy explains what personal information Proper Kip collects, why, how long we keep it, and your rights. Last updated: [date].

Who we are

What we collect

  • When you sign up for updates: your email address and the town you're interested in.
  • When you book a stay: your name, email, phone number, the dates and number of guests, any messages you send us, and your booking and payment status. Card payments are handled by the booking platform or our payment provider. We never see or store your full card details.
  • When you contact us or enquire as a landlord: your name, contact details, property details and anything you tell us.
  • During your stay: your check-in and check-out times, the access code we give you, and any issues you report.
  • When you leave a review: what you write and any rating, as published by the booking platform.

We don't ask for special category information, such as health details. If you choose to tell us something like that (for example an accessibility need), we only use it to help with your stay.

Who we share it with

We never sell your information. We only share it with people who help us run the business, and only what they need:

  • Booking platforms you book through, such as Airbnb and Booking.com, under their own privacy policies.
  • Our booking and channel management software, and our payment provider.
  • Our email provider, [MailerLite], to send updates you signed up for.
  • Our cleaners and maintenance team, who may see your name and arrival or departure times.
  • Our accountant, insurer and professional advisers.
  • The police, council or other authorities, where the law requires it.

Some of these providers store data outside the UK. Where they do, we rely on the safeguards UK law requires, such as adequacy regulations or approved contract terms.

How long we keep it

  • Email updates: until you unsubscribe. We then keep only your address on a suppression list so we don't email you again.
  • Bookings: 6 years after your stay, because tax law requires us to keep financial records.
  • Enquiries: up to 12 months after we last hear from you, unless they lead to a booking or agreement.
  • Access codes: changed after every stay.

Your rights

Under UK data protection law you can ask us to:

  • give you a copy of the information we hold about you;
  • correct anything that's wrong;
  • delete your information, where we don't need to keep it;
  • restrict or object to how we use it, including stopping marketing at any time;
  • send your information to you or another organisation in a usable format.

Email hello@properkip.co.uk and we'll reply within one month. It's free. Every email we send has an unsubscribe link.

If you're unhappy with how we've handled your information, please tell us first. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Cookies

This website doesn't set cookies or use tracking or advertising tools. It loads its fonts from Google Fonts, which means your browser shares your IP address with Google when the page loads. If we add analytics or booking tools that use cookies, we'll update this policy and ask for your consent first.

In our homes

We don't use cameras or listening devices inside our homes. [If a home has an external doorbell camera or a noise monitor that doesn't record conversations, describe it here and in the listing.]

Changes and contact

We'll update this policy when how we use information changes, and show the date at the top. Questions? Email hello@properkip.co.uk.
